What is MyPDF?
MyPDF is an online PDF editor and design studio. You can edit text, sign, fill forms, organise pages, redact, run OCR, convert, compress and password-protect PDFs, and create flyers, certificates, invitations and social posts from templates, all in your web browser.
Can I design flyers and social media posts, like in Canva?
Yes. Choose Create a design on the start screen, pick a size such as Instagram post or A4 flyer, or start from one of the templates. Add shapes, icons, photos, QR codes and text in 14 designer fonts, then download a PDF for printing, PNG/JPG for sharing, or build multi-scene social video templates and export MP4. Social Studio also includes platform presets and Copy & resize for social. Read Create designs.
Is it free?
Yes, for individuals: the editor at mypdf.live is free. Organisations can buy a licence for their own private MyPDF with the AI assistant and social media planner. See Plans & pricing.
Do I need to install anything?
No. MyPDF runs in Chrome, Edge, Safari and Firefox on Windows, Mac, Linux, Android, iPhone and iPad. Use a recent browser version for the best results.
Where is the editor?
The editor is at app.mypdf.live. This website has the guides, your account and news.
MyPDF for organisations
What is MyPDF for organisations?
A private copy of MyPDF for one organisation, running on its own server at its own address, such as app.yourcompany.com. It includes the editor and design studio, the AI assistant, the social media planner, and a console for people, branding, security and the licence. Read MyPDF for organisations.
Where is our data kept?
On your server. People, settings, the audit log, AI settings, and social posts and media are stored in databases on the server you install MyPDF on. Documents opened in the editor aren't stored on the server at all. MyPDF sends nothing to us: there's no telemetry and no licence check-in. What leaves the server, and when.
Do we need our own server?
Yes: a Linux server (Ubuntu 22.04 or 24.04, or Debian 12) with at least 2 GB of memory, at a cloud provider or in your own data centre, and an address such as app.yourcompany.com. The installer does the rest with one command. See Installing MyPDF for your organisation.
How is MyPDF licensed?
Per person, per year, on the Team, Business or Enterprise plan. A seat is a person who can sign in, or a pending invitation; disabled people don't use a seat. Contact us for a quote.
Is there a free trial?
Yes. A new install runs for 30 days with every feature for up to 5 people, without a licence key. Paste your key in Admin → Licence when you're ready; nothing is lost.
What happens when our licence expires?
There are 14 days of grace: everything keeps working, with a reminder. After that, members can't sign in and the features are off until a new key is added. Owners and admins can still sign in to add it, and no data is deleted.
How do backups work?
Your IT administrator runs one script to make a backup, or schedules it nightly. A backup contains the databases, uploaded files and settings, so it can be restored to the same or a new server. Keep copies away from the server, somewhere safe: backups include the key that protects stored secrets. Documents edited in the editor aren't on the server, so they aren't in backups.
Can we use our Microsoft 365 or Google Workspace sign-in?
Yes, on the Business and Enterprise plans. Single sign-on works with Microsoft Entra ID, Google Workspace, Okta and other OpenID Connect providers. Every plan has 2-step verification with an authenticator app.
AI
What can the AI assistant do?
It designs from templates, changes text, colours and layout, fills in forms, answers questions about a PDF with page numbers, rewrites and translates text, creates images and writes social media captions. See MyPDF AI.
Which AI providers can we use?
OpenAI (the default), Anthropic Claude, or any OpenAI-compatible service, such as Azure OpenAI or a model you run yourself with Ollama, vLLM or LM Studio. Your organisation uses its own account and pays the provider directly. AI images need OpenAI or a compatible service with an image model.
Does MyPDF store our prompts?
No. MyPDF keeps only usage numbers: who used AI, when, for which feature and how many tokens. An admin can turn on prompt logging to troubleshoot; prompts and answers are then kept for 30 days and visible to admins, and turning it off deletes them.
What is sent to the AI provider?
Only when someone uses an AI feature: their request and the context they chose, such as the selected text, the document's text for a question, or a picture of the page when Show AI this page is ticked, plus your organisation's brand voice. Check your provider's data-processing terms; many business API terms say data isn't used for training.
Can we control how much AI is used?
Yes. Admins set a daily number of requests per person (200 by default) and a monthly token budget for the whole organisation, can turn AI images or all AI off, and see usage per day and per person.
Can the AI make mistakes?
Yes. Check names, dates, figures and contact details before you print, send or publish, especially anything medical, legal or financial. Every change the assistant makes is listed in the chat and can be undone.
Social media
Which social networks are supported?
Facebook Pages, Instagram (Business or Creator accounts), LinkedIn (profiles and company pages), X, TikTok and Telegram channels and groups, plus a Test channel that records posts without sending them. See the social media planner.
Why does Instagram need a business account?
Instagram only allows publishing through its API for Business and Creator accounts that are linked to a Facebook Page. You can switch an account in the Instagram app's settings. Every Instagram post also needs at least one photo or video.
Why are our TikTok posts private?
TikTok publishes posts from a new app as private (only the account owner can see them) until it has reviewed and approved the organisation's app. Once TikTok approves it, an admin switches this on in MyPDF and posts can be public.
How do we connect a Telegram channel?
Create a bot with @BotFather in Telegram, add it to your channel as an administrator allowed to post messages, then in MyPDF choose Accounts → Add Telegram and paste the bot's token and the channel name. Step by step.
Can posts be approved before they go out?
Yes. When an admin turns on approvals, posts written by members wait under “Awaiting approval” until an admin approves them, or rejects them with a reason.
Can we practise without posting publicly?
Yes. Add the Test channel under Accounts. Posts to it are recorded in MyPDF but sent nowhere, which is ideal for training and trying out approvals.
Privacy & security
Do you store my documents?
No. Editing happens in your browser, and recent designs are kept only in your own browser on your device. For redaction, replacing existing text, OCR, compression, conversion and password protection, the file is sent over an encrypted (HTTPS) connection, processed straight away and deleted as soon as the result is sent back. We don't keep a copy, and we don't look at your documents.
Is redaction really permanent?
Yes. When you download, everything under a redaction box is deleted from the file: text, images and drawings. It can't be copied, searched or recovered from the downloaded PDF. Read How to redact for good practice.
How strong is the password protection?
MyPDF uses AES-256 encryption, the strongest standard PDF encryption. Choose a long password and keep it safe. Nobody, including us, can recover a forgotten password.
Is my signature legally binding?
MyPDF adds a visual electronic signature (an image of your signature) to the document. Many everyday agreements accept this, but the rules vary by country and document type. Some documents need a certificate-based digital signature, which MyPDF doesn't provide yet. If in doubt, check with the person asking for your signature.
Using the editor
How big can my files be?
Editing in the browser works with most documents your device can open. Server tools (OCR, compression, conversion, redaction) accept files up to 100 MB.
Why does edited text look slightly different?
PDFs often use fonts that can't be reused. MyPDF picks the closest standard font (sans, serif or mono) and matches the size, weight and colour. For an exact match of a special font, retype the whole line or paragraph in the same style.
I can't select or edit text in my scanned PDF
A scan is a picture of a page, so there's no text in it yet. Run OCR first. After that you can search, copy and edit the text.
Can I undo a mistake?
Yes. Press Ctrl + Z (⌘ + Z on a Mac) or tap Undo. MyPDF remembers your last 60 changes.
Does MyPDF save my work automatically?
Yes, in your browser. While you work, MyPDF keeps a copy on your device so you can reopen it from Recent designs on the start screen, even after closing the tab. Nothing is uploaded. The copy stays in that browser only, so download your file to keep it permanently or use it elsewhere. On a shared computer, remove it with Clear all, or turn this off in File → Keep recent designs in this browser.
I downloaded an official form and it asks for a password
Many official forms (immigration, tax and bank forms) are locked by their publisher. Older versions of MyPDF couldn't save them correctly. Since version 0.3.3 the lock is removed when you open the file and every download is checked first. Open the original form again and redo your changes. See Troubleshooting.
Accounts
Why should I create an account?
With an account you hear about new features first. Upcoming features like saved templates and document history will also be tied to it. The editor works without one.
I forgot my password
Use Forgot password on the sign-in page. If email reset isn't available yet, contact us from the email address on your account and we'll help.
How do I delete my account?
Go to My account → Data & privacy and choose Delete account. Your profile and sign-in history are removed immediately.
